PTA Board Meeting Minutes
Tuesday, March 2, 2004
Call to Order The Maxwell Escuela de Immersion en Espanol PTA Board
meeting was called to order at 1:25 p.m. Tuesday, March 2, 2004 by
President Jamie Shier. Deanna Rawlings as recording secretary.
Roll Call Those in attendance were:
Jamie Shier, Michelle Gardner, Jody Casella, Sherri Ball, Deanna Rawlings,
Kay Saffari, Stephanie Hamilton, Agnes Barlow, Dean Hunt, Cindy Crane, Dee
Lawless. Approval of Minutes With no
corrections, the minutes (February, 2004) were approved.
Treasurer’s Report The total income to date from Invest in Your
Child is $10,132. While this is still short of our $15,000 goal, it is a
respectable amount. Our combined fundraising efforts to date are $19,544.
The shortfall is $3,306. In short, with our carry forward of $21,850, we
have plenty of money.
Expenses are well under budget. The
teachers are spending money for classroom projects, technology, and
student programs. We are comfortable in money available for
hospitality, PTA projects, receptions, teacher appreciation, etc.
President’s Report Jamie informed
everyone of two ongoing fundraisers being provided by Cold Stone
Creamery until the end of the year. 1) Every 4th Monday of the month,
mention Maxwell and we get 10% of the sale. 2) Class of the month gets
ice cream! Also, Family Night needs
volunteers. Old Business Jamie
introduced Nancy Engel, Innisbrook sales representative. Nancy said that
during Maxwell’s last gift wrap sale, our profits were $15,500. This is a
straight 50% of total sales. 260 people participated, which is very high
according to Nancy. We also received $112 from internet sales, which was a
new option. This service offers year round ordering and more products.
Nancy explained catalog options and incentives, including 15% off the
school supplies students can order from Innisbrook for the school year.
She recommended that we include Labor Day
weekend as part of the sales promotion, which lasts 2 ½ weeks. August
16 is the first day of school.
Jamie introduced Dean Hunt to discuss the
Friendship Garden. The garden would be located at the back corner of
the playground, behind the play equipment. It would be used as a quiet
space for children at recess, and for class study. The parent feedback
has been overwhelmingly positive. Bill
Henkel is a landscape architect with Henkel-Denmark, and has drawn plans
and provided an estimate for this project. Dean distributed a hand-out
with this information. Henkel’s estimate is $37,000 retail, but if
approved, he will go to wholesalers for help.
The plan is to start with pipes, mulch
(which is provided by Fayette Co.), and boulders, and expand as the
money comes in. Michelle Gardner expressed
concern about bird droppings and Dean said he will ask Bill Henkel about
trees that would not attract birds. The
proposal has been sent to Fayette Co. for approval, and they are
supportive of the garden idea. Dean asked for a formal vote from the PTA
to approve the requested $5,000. However, that had already been done and
the PTA didn’t know when the money was needed. Dean said this year, the
project will begin in June, if approved by Fayette Co.
In a further discussion about Innisbrook
sales, Stephanie Hamilton said that 131 people have participated in
Invest in your Child and $10,302 has been raised. Cindy Crane moved
that the PTA sell Innisbrook gift wrap next year, and Kay Saffari
seconded the motion. All were in favor and the motion carried.
New Business A nominating committee has been established, which was
approved by the board. Next PTA meeting on
Tuesday, April 6 at 6:00 p.m.
